Packages

A package is a prepaid liability that is comprised of services and/or products. A prepaid liability means that when you sell a package, your business receives money today for items that will be redeemed in the future. Packages are traditionally sold at a discounted rate, as clients are paying for the package in advance of receiving the services or products.

What can I do with packages?

When set up correctly, packages should attract clients, increase FOV and retention, and build client loyalty. Here are just a few of the things you can do with packages in Meevo:

  • Create packages that combine multiple complementary services, such as a haircut and color package. Create these types of packages for seasonal promotions like "Holiday Glam Package," or special events like a "Bridal Prep Package." 
  • Similarly, you can create packages that are a series of the same service at a discounted rate (for example, 6 Massages for the Price of 4). These packages are ideal for repeat services such as waxing, massages, and certain MedSpa treatments.
  • Include complementary products within packages (for example, a gentle shampoo with a Cut and Color package).
  • Create Package Swap Groups to let clients choose from similar services and be sure to add upgrade options for premium services within that package.

Are all packages available for sale in the register?

All predefined and custom packages can be sold in the register except for those marked Membership Use Only, as they are only available through membership accruals. If you don't pre-configure any packages in Meevo, you can still sell packages by creating a custom package in the register at the time of sale.

Tell me more about packages and memberships!

If you want your clients to accrue packages as part of a membership, you will need to associate at least one package with the membership, and it cannot contain a product. Packages can be accrued during a membership's enrollment as a one-time accrual after purchase, and/or as a membership's recurring fee, which applies the package to the client's account with each recurring payment.

How do pre-paid tips work?

Pre-paid tips (if any) are paid for by clients when they purchase a package. The pre-paid tip amount is proportionally distributed to every service in the package based on their price and quantity.

When a client redeems a package service that includes a pre-paid tip, the pre-paid tip is automatically applied to the transaction and cannot be removed. The total tip amount must be equal to or greater than the pre-paid tip amount.

Can a client redeem expired packages?

Yes, an expired, non-unlimited package with unredeemed services or products can be used (redeemed) by a client in either of the following conditions.

  • If Allow expired packages to be redeemed at any location is enabled in Business Preferences, global packages can be redeemed at any location, provided the Meevo user has Grant permission to the Redeem Expired Package key.
  • In Clients > History > Package History, an expired, non-unlimited package that has at least one service or product remaining on it will appear with a Available for use checkbox. This checkbox is editable to the location who owns the package. When the checkbox is enabled, the package is no longer considered expired and it can be redeemed normally in Meevo.

Adding a package

Tip: If creating several records that have similar details, select Copy to create a new record with fields identical to the one you just copied. This can save you a lot of time when creating data in Meevo. 

Note: Before creating packages, make sure you've created services, Service Categories, products, and Product Categories.  

  1. To get to Packages, type packages into the Convobar, or go to Meevo > Data > Packages.
  2. From the Packages search form, select Add New.
  3. Display Name and optional Short Description: Enter a name for the package that helps easily identify its content or purpose. The Short Description will appear in the register sale screen.
  4. Expires X weeks after purchase: Determines for how many weeks after purchase the package is valid. If this is set to 0, the package will not expire.
  5. Bookable online: Allows the package to be purchased online through eGift.
  6. Membership use only: Removes this package from retail sale availability; it is only available for inclusion in a membership. Enabling this option disables the following fields: Expires X weeks after purchase and Allow sharing.
  7. Allow sharing: The Purchased For client, who is selected in the register, can share the package with other clients.
  8. Unlimited services: All services in this package come with unlimited use. Once expired, unlimited packages are not redeemable, regardless of security settings. Unlimited package services cannot be split, but may be swapped.
    1. Can swap, BUT NOT SPLIT, services: Makes the services in this package eligible for Package Swap Groups.
  9. Can split or swap services: Makes the services in this package eligible for split/merge services and Package Swap Groups. You may not want to allow this if you are offering this package at a highly discounted rate.
  10. Award Full Commission on Redemption of Package Items: Some business models allow employees to adjust package prices in the register at the time of sale (for example, discounting the package price in the register from $100 to $90). However, changing the package price in the register can affect an employee's commissionable amount when a service is redeemed from that package. This is where the "Award Full Commission" option comes into play. 
    1. When it is enabled, the servicing employee's commission on a redeemed service is determined by weighing the service against the non-discounted package price – that is, the Package Price defined in the package definition. This ensures employees receive full commission on service redemptions despite the package being discounted when it was originally purchased.
    2. If this option is disabled, the servicing employee's commission on a redeemed service is determined by weighing the service against the package price actually paid at the register.  
    3. This option has no impact on how the price appears in the register after the service is redeemed. That price is always based on the price paid in the register, even if the employee will be receiving a different commissionable amount.

  11. Selected to show in eGift: Enable this option to make this package a sellable item in eGift. This option appears only if the eGift integration is enabled.
  12. Package Charge: This is the amount or percentage that will determine the package charge. Select $ or % to toggle between the units. For full details on package charges, be sure to review our Service and Package Charges FAQ.
  13. Package Charge Tax: To tax the package charge, deselect Non-taxable and select a Service tax rate from the list. Note only Service tax rates can be selected here.
  14. Package Services: Use the drop-downs to add services (in the order you want them to be booked). 
  15. Package Services: Use the drop-downs to add services (in the order you want them to be booked) and/or products to this package. Note packages that contain products cannot be used with memberships. 
  16. Package Products: Use the drop-downs to add services (in the order you want them to be booked) and/or products to this package. Note packages that contain products cannot be used with memberships. 
  17. Package Price and Original Package Price: The Original Package Price field is the sum of all selected items, and is read only. If you wish to discount this package, set the Package Price to be less than the Original Package Price. Note that Original Package Price appears only if Unlimited Services is not selected.
  18. Pre-Paid Tip (applies to Services only): A Pre-Paid Tip amount is paid in full at the time of package sale, and then that amount is proportionally distributed to every service in the package. Upon redemption, the allocated Pre-Paid Tip amount is automatically added to the transaction. The actual tip amount allocated to a service depends on the price and quantity of services in the package. Note that this field is not available for Unlimited services, and pre-paid tips are not applied to services redeemed from a membership package.
  19. When finished, select Save.

Editing a package

When you edit a package, your changes will affect new package purchases only.

  • With the exception of the options mentioned below, editing a package definition will not affect memberships that were already sold. Those memberships will continue to honor the package price, services, etc. that were in place at the time of sale.
  • However, editing Package options Can split or swap services or Award Full Commission on Redemption of Package Items will affect all memberships that are associated with this package, even if the membership was already sold.
  1. Locate and select the package. .
  2. Select Edit, and make your changes.
  3. When finished, select Save.

Inactivating or reactivating a package

Mark an item "inactive" if you are setting up data and want to restrict its use until the item is completely set up or ready, or if you no longer require the item in any capacity but may want to reactivate it in the future.

When you inactivate a package:

  • It is no longer available for purchase, so it is removed from the list of Packages in the register.
  • Packages already sold to clients will be honored until the package expires or the services are used.
  • Clients with a membership that accrues this package will continue to accrue the package until the end of the membership term. At the end of the term, it is a business decision as to whether or not you want the package to continue to be accrued.  
  • Memberships that offer this package will continue to be available for sale.
  • It is no longer selectable from any forms or menus in Meevo.
  • It can still appear in Meevo reports.
  • It does not appear in Meevo search results unless Inactive is selected from the Advanced menu.

Tip: Remember to select Inactive from the Advanced Search menu to search for inactive items. 

  1. Locate and select the package.
  2. Select Edit.
  3. Select the switch to toggle it to Active or Inactive.
      
  4. Select Save.

Deleting or undeleting a package

Delete an item if it is no longer needed in any capacity, and you don't anticipate needing it in the future. Most deleted items can be undeleted, and the ones that can't display a warning before Meevo lets you fully delete.

When you delete a Package:

  • It is no longer available for purchase, so it is removed from the list of Packages in the register.
  • Packages already sold to clients will be honored until the package expires or the services are used.
  • Clients with a membership that accrues this package will continue to accrue the package until the end of the membership term. At the end of the term, it is a business decision as to whether or not you want the package to continue to be accrued.  
  • Memberships that offer this package will continue to be available for sale.
  • It is no longer selectable from any Meevo forms or menus.
  • It does not appear in Meevo search results unless Deleted is selected from the Advanced menu.
  • It may still appear in Meevo reports depending on the report setup criteria.

To delete or undelete a package:

  1. Locate and select the package.
  2. Select Delete or Undelete.
    1. If deleting, a confirmation message appears. Select Yes to complete the deletion.
    2. If undeleting, the form becomes active after you select Undelete. Select Save to finish undeleting.
