Gift Card Types

A Gift Card Type is a predefined gift card that can be sold in the register. Creating a Gift Card Type allows you to specify a price and value, redemption criteria, when the card is available to sell in the register, and when it expires. 

When you select a Gift Card Type to sell in the register, its details are automatically populated in the register according to how it was configured. These details can be changed in the register prior to completing the sale if needed.

Note: If you know a gift card's number, the card's details can be looked up quickly via the Gift Card Lookup modal.

Predefined Gift Card Types vs Standard Gift Card Types

You do not need to configure a Gift Card Type to be able to sell a gift card in the register. When creating a gift card in the register, the register defaults to a Standard gift card type. Any gift card that is sold at the register without selecting a predefined Gift Card Type is considered a Standard gift card. Standard gift cards are configured right there in the register at the time of sale. 

You can change which default Gift Card Type Meevo applies via a Business Preference option Default Gift Card Type in the Gift Cards section.

Can clients check their gift card balance online?

Yes! If you are using eGift, clients can check their balances via a link on your eGift site. From there they can check balances on any gift card purchased through eGift or at your business.

What is a Promotional gift card?

A Promotional gift card:

  • Can only be redeemed one time, either towards a specific service or up to a pre-determined value
  • Can be configured as a liability or non-liability
  • Cannot be refunded
  • Cannot be sold (they have no price)
  • Cannot be reloaded, but the card numbers can be reused

Gift Card Masking

Gift card numbers are masked throughout Meevo; we display the last 4 digits and obscure all preceding digits with 4 asterisks. For example, gift card number 1234567 will be masked as ****4567. If a gift card does not have at least 4 digits, Meevo adds 0’s ahead of the number. For example, gift card number 12 will be masked as ****0012.

The security key Register > Gift Card Lookup > Show Gift Card Number controls the ability to unmask gift card numbers in Meevo. For example, when the key is set to Grant, gift card numbers can be exposed through the Gift Card Lookup modal or unmasked in a particular report. 

Adding a Gift Card Type

Tip: If creating several records that have similar details, select Copy to create a new record with fields identical to the one you just copied. This can save you a lot of time when creating data in Meevo. 

  1. To get to Gift Card Types, type gctype into the Convobar, or go to Meevo > Register > Gift Card Types.
  2. From the Gift Card Types search form, select Add New.
  3. Enter a Display Name and Short Description for the Gift Card Type.
  4. Promotional Gift Card: Promotional gift cards are gift cards that are given for free at the Meevo register or via eGift Promos. Promotional gift cards can only be fully redeemed once.
    • If you select a specific service from the drop-down, the gift card can only be redeemed toward that service.
    • If you do not select a specific service, the Default Value becomes the maximum redeemable amount. The client may redeem the gift card one time, up to its full value. If the service price exceeds the Default Value, the client pays the difference. If the service price is less than the Default Value, the remaining balance is not returned as change.
  5. Treat this promotional gift card as a liability: For Promotional gift cards, this option determines how they are reflected in liability reporting.
    • When enabled, the Promotional Gift Card will contribute to outstanding gift card liability totals.
    • When disabled, the Promotional Gift Card will not be included in gift card liability reporting.
    • Once a Promotional Gift Card Type has been added to a promotion, the Promotional Gift Card designation can no longer be edited.
    • Once a Promotional Gift Card Type is sold, the Promotional Gift Card designation and related settings remain locked, even if all issued cards of that type expire. This ensures reporting accuracy and prevents promotional Gift Card Types from being converted into standard gift cards (or vice versa). 
  6. Valid From and Valid Until: The Gift Card Type will be available to sell in the register during this date range. For example, you can make a Season's Greetings Gift Card available from November 1st to January 15th. 
  7. Expires X weeks after purchase: The expiration date that gets filled in during the sale in the register is based on this setting. If this value is set to zero (0), then the register does not populate an expiration date, though this can be manually entered in the register during time of sale.
  8. Default Price: The price that appears in the register. If the Default Price is less than the Default Value, a Special Price discount will be automatically applied in the register.
  9. Default Value: The redeemable amount on the gift card. The Default Value can never be less than the Default Price.

Note: The Default Value field is an important one if you are creating a promotional gift card. Be sure to read Step 8 below for details.

  1. Select Tax and/or Tips if you wish to Allow the Gift Card to be redeemed towards those costs.
    1. If you do not select Tips or Tax, then upon checkout, the client redeeming the gift card must provide another form of payment, along with the gift card, that covers the full amount of the tip or tax calculated in the transaction.
  2. When finished, select Save.

 

Editing a Gift Card Type

  1. Locate the Gift Card Type and select it.
  2. Select Edit, and make your changes. Only future sales of this Gift Card Type will reflect these changes; existing client gift cards of this Gift Card Types are not affected.
  3. When finished, select Save

 

Inactivating or reactivating a Gift Card Type

Mark an item "inactive" if you are setting up data and want to restrict its use until the item is completely set up or ready, or if you no longer require the item in any capacity but may want to reactivate it in the future.

When you inactivate a Gift Card Type:

  • Gift cards of this type that were already sold are not affected by the inactivation.
  • It is no longer selectable from any forms or menus in Meevo.
  • It can still appear in Meevo reports.
  • It does not appear in Meevo search results unless Inactive is selected from the Advanced menu.

To inactivate or reactivate a Gift Card Type:

  1. Locate the Gift Card Type and select it.
  1. Select Edit.
  2. Select the switch to toggle it to Active or Inactive.
      
  3. Select Save.

 

Deleting or undeleting a Gift Card Type

Delete an item if it is no longer needed in any capacity, and you don't anticipate needing it in the future. Most deleted items can be undeleted, and the ones that can't display a warning before Meevo lets you fully delete.

When you delete a Gift Card Type:

  • Gift cards of this type that were already sold are not affected by the inactivation.
  • It is no longer selectable from any Meevo forms or menus.
  • It does not appear in Meevo search results unless Deleted is selected from the Advanced menu.
  • It may still appear in Meevo reports depending on the report setup criteria.

To delete or undelete a Gift Card Type:

  1. Locate the Gift Card Type and select it.
  2. Select Delete or Undelete.
    1. If deleting, a confirmation message appears. Select Yes to complete the deletion.
    2. If undeleting, the form becomes active after you select Undelete. Select Save to finish undeleting.
