Freezing or Unfreezing a Membership

To get to Membership Manager, type mm into the Convobar, or go to Meevo > Membership > Membership Manager.

What situations would prevent me from freezing or unfreezing a membership?

Suspended or In Cancellation memberships cannot be frozen or unfrozen. You must undo the cancellation or resolve the suspension first, and then freeze or unfreeze.

If a membership is in its initial term, you cannot schedule a freeze to begin during the membership's renewal term. However, a freeze can begin in an initial term and extend into a renewal term.

During a membership freeze, what happens to the membership term and scheduled payments?

If a membership is frozen during its initial term and a freeze fee was configured:

  1. Clients with a recurring membership are charged a freeze fee each month the membership is frozen. This fee replaces the membership's Recurring Fee. Clients with a Paid in Full membership receive one freeze fee (if configured), which must be paid at the time of freeze. All freeze fees appear with a Freeze Fee icon to the left of the Amount:
  2. No recurring billing occurs during the freeze (aside from freeze fees if they are configured). Once the freeze is lifted, payments resume and payment dates are shifted out according to the duration of the freeze.
  3. EFTs manually inserted prior to the freeze will be billed as scheduled.
  4. The expiration date of the initial term of the membership is extended according to the duration of the freeze.
  5. If a membership is frozen after the membership's initial term, only 1 and 2 above occur.

Does the client have access to benefits during a freeze?

When you freeze a membership, you determine the client's access during the freeze. Regardless of your selection, frozen memberships never accrue

  • No Access: The client cannot redeem accrued services or transfer previously accrued services. Member Benefits are not honored.
  • Accrued Services Only: The client can redeem accrued services and transfer previously accrued services, as long as the client is in good standing. Member Benefits are not honored.
  • Member Benefits Only: The client cannot redeem accrued services or transfer previously accrued services. Member Benefits are honored.
  • Full Access: The client can redeem accrued services and transfer previously accrued services, as long as the client is in good standing. Member Benefits are honored.

Why can't I see the Membership Freeze/Unfreeze Settings section in Membership Manager?

The Membership Freeze/Unfreeze Settings section in Membership Manager appears only if Allow Freezing? is enabled in the membership definition. From the Membership definition, you can also define the minimum and maximum days a membership can be frozen.

To freeze a membership

  1. Locate the client in Membership Manager.
  2. Select the Main tab and select Edit.
  3. In Membership Freeze/Unfreeze Settings, select Freeze.
  4. Auto-Freeze On: Enter a date to freeze the membership. If set to today, the freeze occurs immediately. If scheduled for the future, the freeze occurs at 12:01 am the day of the freeze, local time. Selecting a future freeze date also changes the Freeze Start Date field.
  5. Membership Access During Freeze: The options available here depend on the freeze options that were configured in the membership definition. This is true of Freeze Fee as well, only this is not an editable field.

Note: After the freeze is saved, Membership Access During Freeze cannot be changed for that freeze.

  1. Scheduled Reactivation: The date that the freeze will end. This date must adhere to the Minimum and maximum days rules configured in the membership definition.
  2. Reason for Freeze: Enter into the text box a reason for freezing the membership.
  3. When finished, select Save.

Note: If you are freezing a Paid in Full membership that is not set to auto-renew, then the freeze fee must be paid up front. If this fee is not paid or waived, the freeze will not be applied.

To unfreeze a membership

  1. Locate the client in Membership Manager.
  2. Select the Main tab and select Edit.
  3. In Membership Freeze/Unfreeze Settings, select Unfreeze.

Note: If the freeze period does not meet the required minimum days, a message appears asking you to confirm the unfreeze.
