Voiding a Completed Transaction

How long after a transaction is completed can it be voided?

Only same-day transactions can be voided. The option does not appear for transactions that occurred prior to the current day.

What does a voided transaction receipt look like?

A voided transaction receipt looks identical to the original transaction receipt, except that it reads ***VOIDED TRANSACTION*** across the top. 

What does a voided transaction look like in Transaction Editor?

A voided transaction Status is Void and has an orange header.

How does Meevo handle a voided sale or voided refund?

  • Meevo does not create a separate transaction in the system; the status of the existing transaction is changed to Void.
  • When you void a completed transaction that was paid by credit card, Meevo reverses all credit card charges on that transaction.
  • When you void a completed transaction that included an account charge or payment, the charge/payment is removed from the account.
  • Meevo adjusts the original register drawer that is associated with the transaction.
  • If voiding a product sale or refund, the product quantity is updated accordingly in inventory.
  • If voiding a package redemption, the item that was redeemed is made available again to the client.
  • If voiding a membership sale that included a payment method for future billing, the payment tokens are removed from Meevo.
  • Reporting, Smart Tiles, and other metric-specific features are updated accordingly.
  • Any tip that was given to an employee as part of the sale is also voided and excluded from employee tip totals.
  • Any points earned during the transaction are removed after completion of the void.
  • Any points used for payment (redeemed) are placed back on the client's account.

Which sales cannot be voided?

  • Transactions created through Membership Manager or the Membership Manager billing engine cannot be voided in Transaction Editor. Those transactions must be refunded through Membership Manager.
  • A transaction involving the earning of points cannot be voided if the points earned were already redeemed.
  • A package sale cannot be voided if a service was redeemed from the package.
  • A membership sale cannot be voided if a service that was included in enrollment or package accrual was redeemed.
  • A gift card purchase cannot be voided if any value was redeemed from the card.

To void a completed transaction

  1. Locate the transaction in Transaction Editor.
  2. In the row of the transaction, select the register icon > Void.
  3. Select Yes on the confirmation message to execute the void.
  4. Select how to provide the receipt:
  • Print Receipt: Prints the receipt to the assigned receipt printer.
  • Email Receipt: Displays a window where you can enter the client's email address. If there is an email address in the client's profile, it appears in the field automatically, and you can edit it if needed. If there is no email address on file for the client, Meevo will update the client's profile with the email you enter here. The profile will not be updated if it already has an email address, if the entered email address already exists elsewhere in Meevo, or if there are multiple clients on the Smart Receipt. Note that to email receipts, the Email Service must be turned on in Meevo.
  • Print & Email Receipt: Prints and emails the receipt to the client.
  • No Receipt: Closes the window and finalizes the transaction with no further action.
